This Privacy Policy explains how Civic Forge Solutions LLC (“Civic Forge,” “we,” “us,” or “our”) collects, uses, shares, and protects information in connection with our website at civicforge.solutions, including our informational content, blog, and free public Georgia election-data tools and maps (the “Site”).

Our subscription product, CivicFS Pro, involves accounts and additional data processing. Those additional practices are described in Part B, which supplements this Policy for Pro users.

By using the Site, you agree to the practices described here.

Part A — General Privacy Policy (All Visitors)

1. Who We Are

Civic Forge Solutions LLC is a political consulting firm based in Atlanta, Georgia, and operates the Site. For purposes of applicable data-protection law, Civic Forge is the controller of the personal information described in this Policy.

2. Information We Collect on the Site

We designed the public Site to collect very little personal information. You can browse our content, read articles, and use our public election-data tools and maps without creating an account.

Analytics and log data. We use privacy-focused, first-party analytics that collects aggregate usage statistics — such as pages viewed, referring source, approximate region, and device/browser type — without using cookies and without collecting personal information or tracking you across other websites. We also automatically generate standard log data (such as IP address and request timestamps) for security, reliability, and diagnostics.

Address and map search. When you use a map or address-search feature, the address or place you enter is sent to our third-party mapping provider (identified in our Vendor & Sub-Processor List) to return results. We do not use this to track your physical location in the background.

Information you send us. If you email, call, or contact us through social media (such as Bluesky), we receive the information you choose to provide, such as your name, contact details, and the contents of your message. Please do not send confidential, sensitive, or regulated personal information through these channels.

Public election data. The Site presents election results, early-vote and turnout data, precinct and district geometry, and demographic estimates derived from public records and third-party sources. This is generally aggregate or public-record data about geographies and elections, not personal information you provide about yourself.

3. How We Use Information

We use the limited information we collect to: operate, maintain, and secure the Site; understand aggregate usage and improve content and features; respond to messages you send us; protect against fraud, abuse, and security threats; and comply with legal obligations. We do not sell your personal information, and we do not use it for third-party advertising.

4. Cookies

The public Site does not use analytics or advertising cookies; our analytics is cookieless. We may use a small number of strictly necessary cookies or similar technologies only where required for basic functionality or security. (CivicFS Pro uses essential cookies for sign-in and sessions, as described in Part B.)

We share information only with the third-party service providers that help us operate the Site — for functions such as mapping and geocoding — which are identified in our Vendor & Sub-Processor List at https://civicforge.solutions/legal/vendors. Each of these vendors is an independent company that processes data under its own terms of service and privacy policy. Our website analytics is first-party and privacy-focused, and does not share data with third parties. We also disclose information as required by law or legal process, to protect our rights, users, or the public, or in connection with a merger, acquisition, financing, or sale of assets (subject to this Policy). We do not sell personal information and do not share it for cross-context behavioral advertising.

6. Data Retention

We retain the limited Site data we collect only as long as needed for the purposes described here — for aggregate analytics, security, diagnostics, and legal compliance — and messages you send us for as long as needed to respond and maintain our records.

7. Security

We use administrative, technical, and organizational safeguards designed to protect information, including encrypted transport (HTTPS) and reliance on reputable infrastructure. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

8. Your Privacy Rights (U.S. / California)

Depending on where you live, you may have rights regarding your personal information, such as the right to know or access, correct, or delete it. California residents have rights under the CCPA/CPRA, including the right to know, delete, and correct, and the right to opt out of the “sale” or “sharing” of personal information. We do not sell or share personal information as those terms are defined under California law. To exercise any right, contact us at the address below; we will verify your request as required by law.

9. Children

The Site is intended for adults and is not directed to children under 18. We do not knowingly collect personal information from children. If you believe a child has provided us information, contact us and we will delete it.

10. International Users

The Site is operated from the United States and is intended for use in connection with U.S. (Georgia) elections and civic information. If you access it from outside the United States, your information will be processed in the United States, where privacy laws may differ from those in your location.

11. Changes to This Policy

We may update this Policy from time to time. Material changes will be indicated by an updated “Last updated” date and, where appropriate, additional notice. Your continued use of the Site after an update constitutes acceptance.

Part B — Additional Privacy Terms for CivicFS Pro

This Part B supplements Part A and describes the additional information we process when you create an account and use CivicFS Pro (“Pro”), our subscription campaign-intelligence platform. Where you use Pro, both Part A and Part B apply. For content you submit within an organization workspace, we may act as a processor on that organization’s behalf.

B-1. Additional Information We Collect for Pro

Account and identity information. When you sign up or are invited to an organization, we collect your email address and, if you sign in with Google, basic profile information (such as name and email) provided by Google. Authentication is handled through our third-party authentication provider (identified in our Vendor & Sub-Processor List).

Organization and membership information. We collect information about the organization (workspace) you belong to, your role (for example, Administrator or member), seat assignments, invitations you send or accept, and related settings.

Billing information. When you subscribe or purchase additional seats or credits, our third-party payment processor (identified in our Vendor & Sub-Processor List) collects and processes your payment details. We receive limited billing metadata (such as subscription status, plan, term, amounts, and the last four digits and type of card) but we do not store your full payment card number.

Content and activity you create. We collect the content and activity you generate in Pro, including saved maps and views, workspace configurations, exports you request, and — for the Scout AI assistant — your chat threads and messages, prompts, saved “memories,” and custom instructions. We also collect the queries and selections you make (for example, districts, precincts, elections, and geographies you view).

Usage, device, and log data. We collect technical and usage information such as IP address, browser and device type, features accessed, timestamps, and diagnostic and performance data, and we meter credit and seat usage.

B-2. How We Use Pro Information

We use this information to provide, operate, secure, and improve Pro; authenticate you and manage sessions, seats, and permissions; process subscriptions, purchases, renewals, and billing; meter and enforce credit usage and limits; generate the features you request (including AI analysis, maps, geocoding, and exports); store and display your saved work, chat history, and memories; communicate with you about your account and transactions; verify eligibility and enforce our Terms of Service (including the mission-based access restriction); detect and prevent fraud, abuse, and prohibited use; and comply with legal obligations.

B-3. AI Processing (Scout)

When you use the Scout AI assistant, your prompts and the relevant context needed to answer them (such as the data you are analyzing and applicable saved instructions) are sent to third-party AI providers to generate a response. Your chat history and any saved items are retained in your account so the feature works across sessions, and you can delete them as described in Section B-6.

Data handling by AI providers. We make reasonable efforts to select AI providers whose terms are designed to protect your information — for example, providers that offer options intended to limit or prevent the retention of your inputs or their use to train models. These providers are independent third parties that process data under their own terms and privacy policies, and while we take these efforts, we cannot guarantee or promise how any provider will retain or handle data submitted to it. Do not submit information to Scout that you are not permitted or comfortable sharing with third-party AI providers.

B-4. Essential Cookies for Pro

Pro uses strictly necessary cookies and similar technologies to keep you signed in, maintain your session and security, and remember basic preferences. Because these are essential to core functionality, disabling them may prevent Pro from working. Pro does not use third-party advertising cookies.

To run Pro, we share information with third-party sub-processors that provide functions such as authentication, payment processing, mapping and geocoding, and optional Google integrations you enable. The current sub-processors, the functions they perform, and the categories of data they process are identified in our Vendor & Sub-Processor List at https://civicforge.solutions/legal/vendors, which is updated as our providers change. Each sub-processor is an independent company that processes data under its own terms of service and privacy policy, which we encourage you to review. Third-party AI providers are addressed separately in Section B-3.

Within your organization. Content and activity in an organization workspace may be visible to other members and Administrators of that organization consistent with the workspace’s sharing and permission settings. We do not sell personal information and do not share it for cross-context behavioral advertising.

B-6. Your Choices and Controls in Pro

Access and update. View and update account and workspace information in Pro’s settings.
Delete content. Delete saved maps, chat threads, and memories within Pro.
Disconnect integrations. Disconnect a connected Google account at any time in settings, which revokes our access going forward.
Cancel and close. Cancel your subscription in the billing portal and request account closure and deletion by contacting us.
Communications. Opt out of non-essential emails; we may still send transactional and security messages related to your account.

B-7. Data Retention for Pro

We retain Pro personal information for as long as your account or organization is active and as needed to provide Pro, then for a reasonable period afterward to comply with legal, tax, accounting, security, and dispute-resolution obligations. Chat threads, memories, and saved work are retained until you or your Administrator delete them or the account is closed. Billing records are retained as required by law. Backups may persist for a limited period after deletion before being overwritten.

B-8. Voter and Third-Party Personal Data

Pro may present or allow analysis of data about voters and geographies derived from public records and third-party sources. If you access, export, or otherwise handle any such data, you are responsible for using it lawfully and in accordance with our Terms of Service, the source data’s terms, and all applicable election, privacy, and data-protection laws. You must not use such data to harass, intimidate, defraud, or suppress the participation of any person.

B-9. Programmatic and Third-Party Client Access (MCP)

Pro may let you access your data and features through third-party clients, applications, or AI agents — including via the Model Context Protocol (MCP) or similar interfaces. When you connect or use such a client, the data you request, export, or route flows from our systems to that third-party client or agent, and from that point it is outside our control. We are not responsible for how a third-party client or agent — or any AI provider or other service it relies on — stores, uses, retains, discloses, or secures your data once it leaves our systems. These clients operate under their own terms and privacy policies, which we encourage you to review before connecting them. You are responsible for keeping any access credentials or tokens secure and for the data-handling practices of any client you authorize.
